Inventory & Data Entry Operator

Job Description:

Role Summary

The Data Entry Operator will be responsible for maintaining accurate customer, order, inventory, production, and dispatch records. The role requires coordination with sales and production teams, preparation of quotations and sales orders, and generating reports to support business operations.

KRA: Task / Activities

• Enter and update customer, order, inventory, and production data accurately.
• Prepare quotations, sales orders, invoices, and related documentation.
• Maintain and update production and dispatch records on a daily basis.
• Coordinate with sales, production, and dispatch teams for order tracking and updates.
• Maintain digital files, records, and databases systematically.
• Generate daily, weekly, and monthly reports using Google Sheets.
• Ensure data accuracy, completeness, and timely record maintenance.
• Support management with administrative and reporting requirements.
• Perform basic accounting entries and record maintenance in Tally ERP.

KPI: Performance Metrics

• Data accuracy percentage.
• Timely completion of data entry and record updates.
• Error-free quotation and sales order processing.
• Report submission within defined timelines.
• Effective coordination with internal departments.
• Proper maintenance of inventory, production, and dispatch records.

Desired Profile / Criteria / Skills :

Required Skills

• Proficiency in Google Workspace (Sheets, Docs, Gmail).
• Good typing speed with high accuracy.
• Basic knowledge of Tally ERP.
• Strong data management and record-keeping skills.
• Knowledge of MS Excel and reporting functions.
• Good communication and coordination skills.

Preferred skills

• Experience in manufacturing or trading environments.
• Familiarity with inventory management processes.
• Knowledge of sales order and dispatch documentation.
• Basic accounting and bookkeeping knowledge.
• Experience handling large volumes of data.
